When you build an app on Microsoft Power Platform, one of the first real decisions is where the data goes. The two most common answers are Dataverse and SharePoint. Both work with Power Apps and Power Automate, both are part of the Microsoft world you likely already use, and choosing between them shapes how well your solution holds up over time.
Here is how to decide, without the jargon.
The short version
SharePoint stores your data in lists, which behave a lot like online spreadsheets with structure. It is included with most Microsoft 365 plans and is familiar to many teams already.
Dataverse is a proper business database built for apps. It gives you stronger structure, tighter security and better behaviour as things grow, and it usually needs the right Power Apps licensing.
Neither is simply better. They suit different jobs.
When SharePoint is the right choice
SharePoint lists are a genuinely good fit for a large share of everyday apps. Reach for SharePoint when:
- The data is relatively simple, like a list of requests, tasks, or records.
- The volume is modest rather than enormous.
- Your team already lives in Microsoft 365 and knows SharePoint.
- The relationships between your data are light, not deeply interconnected.
- You want to keep licensing simple and use what you already own.
For plenty of internal tools, replacing a spreadsheet with a Power App backed by a SharePoint list is exactly the right amount of solution. It is quick, familiar and cost-effective.
When Dataverse is the right choice
Dataverse earns its place when the solution is more demanding. Choose Dataverse when:
- You have a lot of data, or expect to, and need it to stay fast.
- The data is highly related, with many connected tables that must stay consistent.
- You need fine-grained security, controlling who can see and do what at the row level.
- The rules matter, and you want validation and logic enforced in the data itself, not just in the app.
- The solution is important enough that its structure and integrity are worth protecting.
Dataverse is built for business applications rather than lists, so it behaves better as complexity and scale increase.
The traps to avoid
The most common mistake is pushing SharePoint too far. Lists are excellent within their limits, but as data volumes climb and relationships multiply, you start hitting thresholds and working around them. A solution that felt cheap at the start becomes fragile and slow.
The opposite mistake is reaching for Dataverse for something small and simple, adding cost and structure a basic list would have handled comfortably.
The honest answer is that most simple apps are fine on SharePoint, and most serious, growing applications are better on Dataverse. The skill is spotting which one you are actually building before you start.
A few questions that decide it
You can usually settle the choice with four questions.

If the answers lean small, simple and light, SharePoint is likely right. If they lean large, connected, secure and critical, Dataverse is likely right.
You can start small and move later
You do not have to get this perfect on day one. It is entirely reasonable to prove an idea quickly on SharePoint, then move to Dataverse if the solution grows into something that needs it. Planning for that possibility from the start makes the move far less painful later.
The point is to choose deliberately rather than by accident, because the right foundation saves a lot of rework down the line.
