On a map, Malta and Gozo look easy to manage. The distances are short and most jobs are within half an hour of the office. Anyone who runs a field team here knows better. Traffic turns a short trip into a long one, parking in an old town core can take longer than the drive, and a Gozo job means a ferry crossing that shapes the whole day.
Good field management in Malta and Gozo is less about distance and more about information: knowing where people are, what they have done and what still needs doing, without spending the day on the phone. If the term is new to you, start with what field service management is.
The local version of the problem
Most local service businesses grew the same way. The owner started on the tools, took on technicians, and the office grew around them, but the way jobs are managed rarely changed. It is still a diary, a group chat and paper job sheets, just with more people. The result is missed return visits, technicians sent to the wrong address, materials nobody recorded, and customers asking for photos of work done weeks ago.
What the office needs to know, without asking
The single biggest drain on a field team is the call that starts with “where are you?” or “what did you do?”. Each one takes two minutes. Across a team of ten, those minutes add up to hours every week.
Good field management means the office can see, without phoning:
- which jobs are booked for today and who has them
- which jobs have been worked on and what was done
- which jobs are finished and which need someone to go back
- what materials and photos belong to each job
When technicians record this on the job, with a field service app instead of paper, the office stops chasing and starts planning.
Planning across Malta and Gozo
Because travel time is unpredictable, plan by area rather than by order of booking. Group jobs in the north, the centre, the south and the harbour towns, and keep Gozo jobs together on fixed days. That only works if you can see all the jobs in one place, not spread across a diary, a spreadsheet and someone’s memory. Simple technician scheduling, where the office assigns each job and every technician sees their day on the phone, is what makes it practical.
Gozo jobs also need to be right first time. A return crossing for a missing part, a sign-off or a photo is expensive, so the technician should leave with everything they need and record everything the office needs before getting on the ferry home.
Where to start
Look back at last month and count three things: the return visits that could have been avoided, especially Gozo crossings; the jobs where the office had to phone to find out what was done; and the jobs that took more than a week to invoice. Those three numbers are the cost of your current field management.
